KCIA Onboarding Intro Snippet

KCIA was growing, but its onboarding process hadn't evolved with it.

A small HR team was spending days guiding new hires through repetitive training, creating bottlenecks that limited their ability to focus on higher-value responsibilities.

As the organization expanded, maintaining a consistent onboarding experience became increasingly difficult, and new employees lacked a reliable resource to reference once training was complete.

The Situation

The challenge wasn't recognizing the problem—it was solving it efficiently.

KCIA wanted to streamline onboarding without dedicating additional personnel to repetitive training tasks, but lacked the internal resources and production capabilities needed to create a digital onboarding system.

Any solution had to reduce the workload on HR while remaining scalable as the organization continued to grow.

The Friction

Rather than simply recording existing training sessions, KCIA and Gibby Media reimagined the onboarding process from the ground up.

Over several months, we worked closely with district leadership to identify repeatable onboarding procedures that could be digitized while preserving the personal aspects of the experience.

Existing training materials were rewritten and reorganized into clear, engaging modules designed to improve retention and accessibility.

The result was a scalable onboarding system that not only delivered essential information consistently, but also introduced new hires to the culture, values, and diversity that make KCIA unique.

The Approach

KCIA now has a comprehensive onboarding system consisting of 45 minutes of training modules that cover the essential information new hires need before their first day.

Employees are introduced to district leadership, staff, students, key systems, and organizational expectations in a consistent and engaging format.

Beyond improving the onboarding experience, the series serves as a long-term resource that can be revisited at any time.

Designed around core processes rather than individual personnel, the system is built to remain relevant and valuable for years to come, reducing future onboarding demands on the HR team while supporting continued growth.
